Total Cost of Ownership (TCO)

A financial estimate that includes all direct and indirect costs associated with purchasing and using a product or service over its entire lifecycle — not just the purchase price.

TCO goes beyond the sticker price to capture the full economic impact of a procurement decision. This includes acquisition costs, implementation, training, maintenance, support, and disposal.

TCO Components

  • Acquisition — purchase price, licensing, implementation
  • Operating — maintenance, support, training, consumables
  • Hidden — integration effort, productivity loss during transition, risk costs
  • End-of-life — migration, decommissioning, data extraction

TCO analysis is essential when comparing procurement software — a cheaper license may cost more overall when implementation and ongoing costs are factored in.
