Quality Assurance (QA)

Systematic activities and processes implemented to ensure that procured goods and services meet specified quality requirements, including supplier audits, inspection protocols, and acceptance testing.

In procurement, quality assurance encompasses all activities that ensure suppliers deliver goods and services that meet the buyer's specifications and standards. This includes pre-qualification assessments, supplier audits, incoming goods inspection, sample testing, and ongoing performance monitoring against quality KPIs.

QA is particularly critical in regulated industries — pharmaceuticals, aerospace, food manufacturing, and medical devices — where non-conforming materials can have serious safety and compliance consequences. Procurement teams in these sectors typically maintain detailed Approved Supplier Lists with regular audit schedules and quality scorecards.

Example: A pharmaceutical company's procurement QA process requires all raw material suppliers to hold ISO 9001 and GMP certifications, submit Certificates of Analysis with every delivery, undergo annual on-site audits, and maintain a defect rate below 0.1%. Suppliers failing any criterion are placed on probation with a 90-day improvement plan.
